Warehouse, Facilities, and Inventory Associate Job Description Position Overview The Warehouse, Facilities, and Inventory Associate is a senior operational role within the CHiPS Pantry Services team, responsible for the integrated management of warehouse operations, facilities maintenance, and inventory systems. This role ensures the warehouse remains safe, compliant, well-maintained, and fully stocked to support CHiPS' pantry and distribution activities. In addition to core warehouse responsibilities, this position holds direct accountability for facilities upkeep, inspections and permitting, vehicle coordination, pest management, and financial processes related to maintenance. This role requires broad technical skills, strong organizational capacity, and a proactive, solutions-oriented approach. Employment Details Status: Full-Time FLSA Classification: Non-Exempt Union: Yes Reports To: Director of Pantry Services Work Location: CHiPS Warehouse, Brooklyn, NY Key Responsibilities Warehouse Operations & Receiving Works with pantry staff and volunteers to receive, organize, pack, load, and unload all food and supplies at the warehouse location. Maintains the organization of the warehouse space in collaboration with the Pantry Manager, other warehouse employees, and volunteers. Inventory Management Maintains warehouse inventory at all times using the system(s) established by the Director of Pantry Services and/or the Pantry Manager. Ensures accurate, up-to-date inventory records and proactively communicates any supply concerns to the Director of Pantry Services. Food Storage & Rotation Labels and rotates all food items in accordance with all policies and procedures established by the Director of Pantry Services. Facilities Maintenance & Repairs Performs basic maintenance work at the warehouse, including maintenance of HVAC equipment (such as space heaters, dehumidifiers, and/or air-conditioning units), painting, carpentry, and any plumbing and electrical work not requiring a permit. Advises on and manages routine maintenance needs, coordinating repairs and upkeep to ensure the warehouse remains safe, functional, and in good working order. Inspections, Permitting & Compliance Advises on and manages all routine permitting and inspection items, including but not limited to fire extinguisher inspections, food service and sanitation inspections, and any landlord-mandated inspections. Ensures all required inspections are scheduled, completed on time, and properly documented in accordance with applicable regulations and organizational procedures. Vehicle & Fleet Coordination In collaboration with the Pantry Drivers, organizes annual vehicular inspections and coordinates vehicular maintenance as needed. Serves as the primary point of contact for vehicle maintenance scheduling, ensuring all CHiPS vehicles remain in safe and compliant operating condition. Pest & Waste Management Manages extermination services for the warehouse, coordinating with vendors and ensuring timely and effective pest control. Manages all trash, recycling, and compost procedures, including interfacing with the landlord as needed for common carting arrangements. Financial & Administrative Processes Follows all internal processes with regard to maintenance work estimates, invoicing, and expense approvals. Ensures all financial documentation related to facilities and maintenance is accurate, timely, and submitted in accordance with organizational procedures. Safety & Compliance Enforces all safety procedures — including appropriate clothing and footwear requirements — in collaboration with the Pantry Manager and the Director of Pantry Services. Adheres to all program policies and procedures as established by the Director of Pantry Services and the Pantry Manager. Equipment & Training Completes all necessary trainings and certifications required for warehouse and pantry operations. Learns to properly and safely operate all warehouse equipment; attends required trainings, reviews equipment manuals, and adheres to best practices and procedures established by the leadership team. Performs basic maintenance and upkeep of warehouse equipment. Communication & Reporting Meets regularly with the Director of Pantry Services to provide updates on warehouse operations, facilities status, and any outstanding issues. Reports all concerns, maintenance needs, and operational issues to the Director of Pantry Services in a timely and proactive manner. Professionalism & Organizational Standards Serves as a representative of CHiPS both on- and off-site, maintaining a high level of professionalism and respect in all interactions with guests, distribution partners, staff, and volunteers. Additional Responsibilities Performs any other duties as assigned by the Director of Pantry Services and/or the Pantry Manager. Qualifications Required Demonstrated experience in facilities maintenance, building operations, or a related field — including hands-on experience with HVAC equipment, carpentry, painting, and/or basic plumbing and electrical work Strong organizational skills and attention to detail; ability to manage multiple ongoing maintenance and inventory responsibilities simultaneously Ability to perform physical tasks including lifting, carrying, and standing for extended periods throughout a shift Familiarity with inspection and permitting processes, including coordination with vendors and regulatory bodies Ability to follow internal financial processes for estimates, invoicing, and expense approvals Strong communication skills; comfortable meeting regularly with leadership and providing clear, timely status updates Reliable, punctual, and self-directed; able to manage ongoing responsibilities with minimal supervision Genuine commitment to CHiPS's mission and the communities it serves Ability to adhere to all union work rules and organizational policies Preferred Prior experience in a nonprofit, community organization, or food distribution environment Familiarity with inventory management systems or food storage protocols Experience coordinating vehicle maintenance or fleet operations Knowledge of NYC building codes, permit requirements, and landlord-tenant compliance obligations Experience managing vendor relationships (extermination, maintenance contractors, inspection services) Physical Requirements Must be able to regularly lift and carry up to 75 pounds Must be able to stand, walk, bend, push, pull, and perform physical maintenance tasks for the full duration of a work shift Must be able to work in a warehouse environment with varying temperatures and conditions Must be able to safely operate warehouse equipment and basic maintenance tools Compensation Hourly Rate: $27-$30 per hour Pay: $27.00 - $30.00 per hour Benefits: 401(k) Dental insurance Health insurance Life insurance Paid time off Vision insurance Work Location: In person

Key Responsibilities
Warehouse Operations & Receiving
